Human In The Loop

Human in the Loop is a safety and control mechanism in Routine's AI automation system. When an AI automation is unsure how to proceed, or when a critical action requires your approval, it pauses and asks for your input before continuing. This gives you the benefits of automation without losing control over important decisions.

✍️ Functionality

With Human in the Loop, you can:

  • Let AI automations pause and request your input mid-workflow

  • Review what the AI is about to do before it acts

  • Provide additional context or instructions to unblock the automation

  • Approve or redirect critical actions (e.g. sending an email, updating a record)

  • Resume the automation after giving your input

  • Configure automations to always pause at specific steps for validation

  • Keep full control over sensitive or high-stakes actions

Human in the Loop works across all AI automations — whether attached to the assistant, an agent, or standalone.

⁉️ Why Human in the Loop matters

Fully autonomous AI is powerful but can feel risky — especially for actions that affect real people or external systems. Human in the Loop:

  • Prevents the AI from taking actions you didn't intend

  • Protects sensitive workflows (e.g. sending emails, updating client records) from unintended automation

  • Lets you delegate confidently — the AI handles the work, you handle the decisions

  • Unblocks automations that don't have enough context to proceed safely

  • Gives you visibility into what the AI is thinking and planning

  • Makes AI automation feel collaborative rather than unpredictable

This is especially important for workflows involving external communications, financial data, or client-facing actions.

🎙️ How Human in the Loop works

How it's triggered:

Human in the Loop activates in two scenarios:

  1. The AI is unsure — the automation doesn't have enough context to decide what to do next, so it pauses and asks

  2. You've configured it — you've explicitly told the automation to always pause at a specific step for your approval before continuing

What happens when it pauses:

  1. The automation stops at the decision point

  2. You receive a notification in Routine

  3. Opening the notification shows you:

    • A reference link to the relevant object (email, task, record, etc.)

    • What the AI has done so far

    • What it's proposing to do next

    • A prompt for your input or approval

  4. You respond by:

    • Editing the automation's next step directly

    • Typing additional instructions or context

    • Approving the proposed action with a tick

  5. The automation resumes from where it paused, incorporating your input

Configuring automations to always pause:

  1. Open any AI automation

  2. Add a pause step at the point where you want human review

  3. Define what information the AI should present when it pauses

  4. Define what input you want to provide before it continues

  5. Save the automation

Example — handling a customer complaint:

  1. An email complaint arrives and triggers an automation

  2. The AI scans the email, identifies it as a complaint, and considers offering a discount

  3. Instead of acting autonomously, it pauses and notifies you

  4. You see: the email reference, the AI's proposed response (e.g. offer 20% discount), and a prompt

  5. You edit the response — change it to 40% and approve

  6. The AI sends the email with your adjusted discount and closes the loop

🗣️ Use cases

Human in the Loop is especially useful for:

  • Customer communications — review and approve AI-drafted emails before they're sent

  • Financial decisions — approve discounts, refunds, or pricing changes before the AI acts

  • Client record updates — validate changes to CRM data before they're committed

  • Escalation workflows — let the AI handle triage but require approval for high-priority actions

  • Sensitive data handling — ensure AI actions involving personal data are always human-reviewed

  • New automation validation — run new automations in human-in-the-loop mode until you trust them enough to go fully autonomous

  • Team oversight — require manager approval for certain AI actions across the team

Human in the Loop gives you the power of full automation with the safety of human judgment — exactly where it matters most.
