Mentions allow you to notify other members of your workspace directly inside Routine. They are part of Routine's collaboration capabilities and help teams stay aware of relevant updates, discussions, and action items — all without leaving the workspace.
✍️ Functionality
With Mentions, you can:
Reference workspace members inside any note, page, task, event, or custom object
Notify them instantly when their attention is needed
Bring collaborators back to the exact context that's relevant
Create mentions across personal and team organizations
Archive mentions once reviewed to keep your Inbox clean
Let the AI assistant or automations create mentions programmatically
Mentions are designed to reduce missed information and make collaboration more actionable.
🎯 How to mention someone
Type
@inside any note, page, task description, event, or custom objectThe
@menu opens — navigate to the Mentions sectionA list of workspace members appears
Select the person you want to mention
The mention is added inline in the content
The mentioned person is notified immediately
💡 The @ menu also gives you access to integrations, references, and stamps — making it the single entry point for all linking and notification actions in the note editor.
🔔 How notifications work
When someone is mentioned:
A notice is automatically created and appears in their Inbox
The notice count is visible on the Inbox icon so nothing is missed
Mentions are ordered from most recent to oldest
Clicking a mention opens the related object directly at the right context
Mentions can be marked as read/unread or archived once reviewed
This ensures mentions remain visible and actionable until they are explicitly reviewed.
📥 Where to find your mentions
Mentions appear in your Inbox as notices, alongside other actionable items. Each mention links directly back to the object where it was created, so you can review context and take action immediately.
From the Inbox you can:
View all unread mentions and notices
Click through to the object where you were mentioned
Mark notices as read or archive them
Filter between mentions and other notice types
🗣️ Use cases
Mentions are especially useful for:
Task handoffs — mention a teammate inside a task to flag it needs their attention
Meeting follow-ups — mention someone in meeting notes to assign context or accountability
Document reviews — mention a collaborator inside a page to request their input
Project coordination — keep the right people informed without creating separate messages
AI-assisted notifications — let automations mention the right person when a condition is met (e.g. a bug is resolved, a task is completed)
Cross-organization awareness — mentions from different organizations are labeled so you always know the context
Mentions ensure the right people are always in the loop — directly inside the workspace where the work happens.
