What is Routine?

<h2 id="80ype2xkbii" data-toc-id="80ype2xkbii">👁️ Authentication</h2>Routine has been designed to provide a modern experience for busy people to take back control of their time and become more productive. Routine is therefore built on top of the following core services:<ul><li>Google CalendarRoutine displays and manages all the events from all your calendars, including scheduling new meetings.</li><li>Google ContactsRoutine imports your contacts for you to easily invite colleagues to meetings and take notes on people you interact with regularly.</li></ul>When signing up to Routine, you will need to grant access to those core services.<callout-component color="Yellow">🔒 Note that the authentication process to Google Calendar and Google Contacts is assured by Google. As a result, Routine never has and never will have access to your Google password!</callout-component>Even though the number of services and permissions Routine requires has been reduced to the minimum, you will need to accept three specific permissions for Routine to operate.These permissions will be requested by Google through its authentication process and will look like the screen below:Let us go a bit deeper and detail the three permissions Routine requests:<ol><li>See and download contact info automatically saved in your “Other contacts”This permission refers to what Google calls Other Contacts. Those are the people you interact with through the Google services like Gmail, Google Calendar etc.Any contact that you interact with (e.g receive an email from) is automatically added as a contact in your Other Contacts.You can easily access your Other Contacts at <a target="_blank" rel="noopener noreferrer nofollow" class="link" href="https://contacts.google.com/other">https://contacts.google.com/other</a>.Routine requires access to import those Other Contacts so you can schedule meetings and take notes on the people you interact on a regular basis.🔒 Note that Routine only requires read-only access to your Other Contacts. As a result, Routine will never be able to add, edit or delete any of your Google Contacts.</li><li>See and download your contactsWhenever you manually click on <code>*Add to contacts*</code> in one of Google’s services (e.g Gmail: example below), the contact is moved from Other Contacts to Contacts.The second access permission grants Routine access to those contacts for the same reason Routine needs access to Other Contacts: to schedule meetings, display your contacts information, take notes etc.🔒 Because Routine only requires read-only access to your Contacts, Routine will never be able to add, edit or delete any of your Google Contacts.</li><li>See, edit, share, and permanently delete all the calendars you can access using Google CalendarThis permission grants permission for Routine to manage your all your calendars.Concretely speaking, Routine needs this permission to manage your events: create, edit, cancel and delete events in any of your calendars.This is the only service for which Routine requires all permission (read &amp; write) because the application needs to operate your calendars and events the same way Google Calendar does.</li></ol><h2 id="31ptz45ep6a" data-toc-id="31ptz45ep6a">🔐 Data Privacy</h2>Routine takes data privacy very seriously and has therefore been designed to reduce the chances of potential data leakage or attacks.<h3 id="m43p52xxkc0" data-toc-id="m43p52xxkc0">Google Verified</h3>All the Routine applications have been verified by Google.The company (Routine International Inc.) and its products underwent a thorough validation process granting Routine access to sensitive services like Google Calendar, Google Contacts, Gmail, Google Drive, Google Tasks etc.<h3 id="l3cei4okzeo" data-toc-id="l3cei4okzeo">Data Exchanges</h3>Routine has been designed for the data not to go through its servers if unnecessary.As a result, only the client application (your desktop or mobile apps) exchange information with the Google services (Google Calendar, Google Contacts etc.). The same is true with <a target="_blank" rel="noopener noreferrer nofollow" class="link" href="https://routine.co/marketplace/extensions/integrations">Integrations</a> like Asana, Gmail, ClickUp, Slack etc.In other words, the Routine servers are never interacting directly with external services so that data always stay on your devices. This reduces the risks of leakage while increasing the performance of the application.<h3 id="8izdkk1x21l" data-toc-id="8izdkk1x21l">Encrypted Communication</h3>All communication from and to your devices are encrypted to ensure the security of your data.

Let's take a quick tour at the different screens of the Routine app.<h2 id="bzosx8cc2f5" data-toc-id="bzosx8cc2f5">📋 Dashboard</h2>The Dashboard is not a screen per se but kind of an app in itself.The dashboard is powerful because it can be opened from anywhere on your desktop through the <code>^</code> <code>⎵</code> (i.e <code>CTRL</code>+<code>SPACE</code>) hotkey.<callout-component color="Yellow">💡 Note that the Routine symbol (above the menu) can also be used to open the dashboard. The workflow below is an example of how Routine can be used to (i) reduce context switching (ii) stay focused on what matters (iii) save all thoughts, ideas and tasks and (iv) organize long-term information to act upon at a later time.<h2 id="pap7xo3t3yi" data-toc-id="pap7xo3t3yi">💾 Capture everything</h2>As advocated by David Allen in his popular book Getting Things Done, anything on your mind is a blocker to your focus.David Allen therefore advises to get those things out of your mind quickly for those to be processed, reconsidered &amp; categorized later.Routine is designed with that philosophy in mind, allowing you to capture a thought, idea, note or task within seconds.<ol><li>Open the Dashboard through the <code>^</code> <code>⎵</code> (<code>CTRL</code>+<code>SPACE</code>) hotkey</li><li>Type something you want to remember for later</li><li>Hit <code>↵</code> and a task will be created and saved in your inbox</li></ol>Because the dashboard can be opened using the hotkey anywhere on your desktop, it is the quickest way to get something out of your mind without context switching so that you can get back to what you were focusing on as quickly as possible.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193de6c-edc4-70d5-9023-8160c6f05b42.gif" data-width="100%" data-align="center">On mobile, the process is very similar: tap the <code>+</code> button, enter a name and tap <code>Save</code>.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193de6a-013f-723f-9f17-49bc46733f6e.gif" data-width="50%" data-align="center"><h2 id="0tz7wal6kal" data-toc-id="0tz7wal6kal">🛠️ Connect your third-party services</h2>Work comes in different form and through different channels. On top of tasks and ideas that pop up in your brain, many work items live in other services from a project management tool that your company uses to collaborate, to emails that often contain an action up to chat services (professional and personal) why more and more knowledge workers use to send requests to one another.Having all of those requests, tickets and tasks in a single system would greatly help overview all your work and therefore prioritize them and plan your week.Through Routine’s integrations, you can easily connect all your third-party services (chat, email, project management etc.) to bring all your work in a single workspace.<ol><li>Head to Settings</li><li>Open Integrations</li><li>Activate the services you use on a daily basis</li></ol><img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193de6d-73d5-7b08-b927-c468fdc9bd0b.png" data-width="100%" data-align="left"><h2 id="52w15ldofzy" data-toc-id="52w15ldofzy">📥 Process inbox from time to time</h2>All the tasks that you create are, by default, saved in your inbox. You should process your inbox of tasks the same way you manage your email inbox.From time to time, go through your inbox and process every item until you reach Inbox Zero.The most effective process, sometimes referred to as the 2-minute rule, has been widely covered throughout the years by productivity experts.For every item in your inbox:<ol><li>🧽 If the task is no longer relevant, mark it as “won’t do” (<code>⌘/^</code> <code>⇧</code> <code>I</code>)</li><li>✅ If the task takes less than 2 minutes to perform, do it right away and mark it as done (<code>⌘/^</code> <code>E</code> or <code>⌘/^</code> <code>.</code>)</li><li>📅 If you already know when this task needs to be completed, schedule it (<code>⌘/^</code> <code>L</code>) for a specific day</li><li>⏰ If you do not know exactly when to work on this task, postpone it (<code>⌘/^</code> <code>P</code>) to a later week to reconsider it</li><li>🔄 Repeat this process until you reach Inbox Zero</li></ol><img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193de6d-beb8-73bd-b84b-93bbe47c153f.gif" data-width="100%" data-align="center"><h2 id="p6akl6zakbr" data-toc-id="p6akl6zakbr">📅 Plan your week</h2>The Planner screen combines both the events from all your calendars and all your tasks for the week.At the beginning of the week, go through the tasks from the current batch:<ol><li>🎯 If a task is important, make sure that you will dedicate attention to it by blocking time; drag &amp; drop the task in the events area</li><li>📅 If you want to complete a task on a specific day, schedule it for that day by drag &amp; dropping it in the area under the day or by using the <code>⌘/^</code> <code>L</code> keyboard shortcut</li><li>⏰ If a task is not important this week, postpone (<code>⌘/^</code> <code>P</code>) to a later week to reconsider it</li><li>🌗 Leave in the batch the tasks that you want to complete this week but do not know exactly when</li></ol>You should regularly reassess the priorities by going through your batch, postponing tasks that you known are becoming less important as the week unfolds, blocking time for urgencies etc.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193de6e-88cf-7d3e-b5a9-6907e026a11b.gif" data-width="100%" data-align="center"><h2 id="585qtye645a" data-toc-id="585qtye645a">🎯 Focus on what matters right now</h2>The Agenda screen has been designed for you to focus on what matters right now: the tasks you set for yourself and the events you are supposed to attend during the day.At the beginning of the day, we advise to follow this simple system:<ol><li>❌ Hide from your agenda the events you will not attend</li><li>🗳️ Pick 1-3 important tasks you absolutely want to get done</li><li>🎯 Allocate time for the most important items to make sure they will get the time they deserve (drag &amp; drop or <code>⌘/^</code> <code>L</code>)</li><li>⏰ Postpone all the unimportant tasks to a later week for reconsideration (<code>⌘/^</code> <code>P</code>)</li></ol><img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193de6e-e130-7d14-b195-9613be83785c.gif" data-width="100%" data-align="center">The Agenda screen allows for you to focus on what matters. However, sometimes you might be working on something and switching to the Routine app to check your next meeting or tasks for the day can feel like a waste of time.The Dashboard has been designed to solve that exact problem. Basics

The dashboard is one of the most important components of the Routine product, providing key productivity information within a fraction of a second, anywhere on your desktop.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193dedb-4f64-72df-9c69-bae4bbcb3818.png" data-width="100%" data-align="center"><h2 id="zkoacx0m70i" data-toc-id="zkoacx0m70i">🤔 Why?</h2>As a busy professional, you have many meetings to attend, many requests coming your way through email/chat, and a lot of tasks that need time to get done.Unfortunately, your day feels like switching from one app to another to get the most basic information: When is my next meeting? Where is the link to join the call? Do I have time to get a coffee, or am I late? I've got some time to focus; where are my tasks for the day? And so on and so forth.We introduced the concept of dashboard because we were tired of constantly context switching between apps just to get that basic information. Those few seconds matter and can definitely derail your momentum for getting things done.<h2 id="f02zb4x685k" data-toc-id="f02zb4x685k">🙉 Usage</h2>The Routine dashboard provides all of that information (tasks of the day, upcoming events, etc.) within a fraction of a second through the hotkey <code>^</code> <code>⎵</code> (<code>CTRL</code>+<code>SPACE</code>).<callout-component color="Yellow">💡 You can change the hotkey to the keyboard combination of your choice in the ⚙️ Settings.</callout-component>The dashboard is always available through the hotkey anywhere on your desktop. You could be in a Zoom call, working on a document, or answering emails; the dashboard is always one keystroke away; just hit the hotkey!Then, when you are done, just hit <code>⎋</code> (<code>ESCAPE</code>) or click anywhere outside the widgets to close it.<callout-component color="Yellow">💡 Hide the consoleIf you have opened the dashboard but you want to quickly check something without losing what you had already typed, simply hide the dashboard and resume when you want.Open the dashboard (with <code>^</code> <code>⎵</code>), start typing in the console, and hit <code>^</code> <code>⎵</code> once more to hide the dashboard. Then, re-open the dashboard (with <code>^</code> <code>⎵</code> again), and the text you had started typing is still there 🎉.</callout-component><h2 id="z3q8sqsbl5o" data-toc-id="z3q8sqsbl5o">📋 Widgets</h2>The dashboard brings you different kinds of information in the form of widgets.<h3 id="ipbpq54p1ii" data-toc-id="ipbpq54p1ii">Tasks</h3>In the left widget, the tasks you scheduled for today are listed. You can easily interact with a task by clicking to mark it as complete, open it, or even reschedule it.<h3 id="myok6aefa7e" data-toc-id="myok6aefa7e">Time</h3>On the right-hand side, a list of widgets represents the time:<ul><li>Pause widgets indicate how much time you have before the next event. Those are particularly useful for knowing how much time you can dedicate to a task.</li><li>Event widgets provide all you need to know about events. Dashboard

The term Console refers to the input you use to issue orders, save information, and search.The console is part of the <span data-type="mention" class="dark:bg-border bg-[#E9ECF1] px-1 py-0.5 text-sm shadow-none rounded-md" data-id="eyJhcnRpY2xlSWQiOiIwMDc5ODA1IiwiaGVscENlbnRlcklkIjoic21jOWlicWsya3M2N3UzYyIsIm9yZ2FuaXphdGlvbklkIjoiNjcyOTI2N2ZjMGYwNmU0OGZjYTI1Y2RiIiwibG9jYWxlIjoiZW4iLCJzdGF0ZSI6ImxpdmUifQ==-article" data-label="Dashboard">@Dashboard but is also present throughout the app to perform basic actions like scheduling a task, searching etc.In other words, whenever you interact with Routine through text instead of clicking, the console is involved.<callout-component color="Yellow">📱 The Routine mobile app does not provide the same natural language capabilities because it is usually easier and quicker to use tapping and sliding for interacting on a smartphone.</callout-component><h2 id="afi872wafcy" data-toc-id="afi872wafcy">📺 Interface</h2>Through the console, the user can create and manipulate different types of objects, most notably tasks, events and text.The console comes with natural language capabilities for the user to specify properties. Based on the provided properties, Routine deduces which command the user is likely willing to perform.If multiple commands are possible, the console lists them for the user to manually select (<code>↑</code> <code>↓</code>) and trigger the action of her choice with <code>↵</code>.In addition, the console provides a summary of what it has understood of the user input, see below with “Buy sofa on Sun, Apr 17th in 🏡 House”.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193dede-6616-7b96-a33b-62158678a2cd.png" data-width="100%" data-align="center"><h2 id="71zww7tabq8" data-toc-id="71zww7tabq8">👩‍💻 Commands</h2>Most of the properties are indicated through the use of keywords for the console to understand what is meant. For instance, one could use natural language to plan tasks and events, add participants to meetings etc.Below are listed the keywords recognized in the natural language:<ul><li><code>on</code> followed by a date</li><li><code>at</code> followed by a time</li><li><code>for</code> followed by a duration</li><li><code>with</code> followed by an email address</li><li><code>every</code> followed by a frequency</li><li><code>starting</code> followed by a date</li><li><code>until</code> followed by a date</li><li><code>this</code> followed by another keywords such as <code>week</code>, <code>month</code>, <code>year</code>, <code>Monday</code> etc.</li><li><code>next</code> followed by another keywords such as <code>week</code>, <code>month</code>, <code>year</code>, <code>Monday</code> etc.</li></ul>Here are some examples:<ul><li><code>Get a haircut on Monday</code></li><li><code>Submit tax report on September 22nd 2023</code></li><li><code>Declare taxes on 2025</code></li><li><code>Call mom on tomorrow</code></li><li><code>Prepare email draft on Monday at 2pm for 3h</code></li><li><code>Call lawyer on December 1st</code> A default duration of 30 minutes is assumed while looking for the first available opening</li><li><code>Clean office at 3pm for 1h30</code>The date defaults to today in this case</li><li><code>Sign contract tomorrow morning</code> </li><li><code>Check metrics every workday</code></li><li><code>Call parents every Sunday starting next month</code></li><li><code>Yearly review every year</code></li><li><code>Schedule call with Henry every quarter until 2024</code></li></ul><h2 id="eprwcb161sb" data-toc-id="eprwcb161sb">🤔 Completion</h2>The console comes with a powerful completion mechanism which suggests the most likely items you are likely to type next, saving you precise time.We advise you to make use of this mechanism as often as possible to increase your productivity.Whenever the console displays suggestions, you can use the <code>↑↓</code> arrows to navigate and press <code>⇥</code> (<code>TAB</code>) or <code>↵</code> to validate the element you want to select.<callout-component color="Yellow">💡 There is a slight difference between <code>⇥</code> and <code>↵</code> when selecting a suggestion. Let’s assume there are two suggestions: <code>house</code> and <code>household</code>.<ol><li>Using <code>⇥</code> on <code>house</code>, the console would complete <code>house</code> and continue to offer <code>household</code> as a more precise suggestion</li><li>Using <code>↵</code> however would validate the selected suggestion, place a <code>⎵</code> (<code>SPACE</code>) right after allowing you to continue typing text or validate the command</li></ol></callout-component><h2 id="zob10mcimz2" data-toc-id="zob10mcimz2">👉 Redirection</h2>If often happens when you capture a task, note, thought etc. that this information needs to be organized, next to other information on the same topic for instance, being movies to watch, stuff related to your house, a person or even a project.Routine allows to specify the parent in which the object should be created. Connect third-party services

Routine has been designed as a knowledge graph, with objects (tasks, events, contacts, pages etc.) representing nodes connected to one another.In this giant hierarchy, some objects are upper-level, also known as root objects, while other live in the context of another object, referred to as their parent.In other words, a checkbox in notes of an event represents a task whose parent is the event itself. The event object is itself implicitly linked to the objects representing the other participants in the event.
