What is Routine?

<h2 id="80ype2xkbii" data-toc-id="80ype2xkbii">👁️ Authentication</h2>Routine has been designed to provide a modern experience for busy people to take back control of their time and become more productive. Routine is therefore built on top of the following core services:<ul><li>Google CalendarRoutine displays and manages all the events from all your calendars, including scheduling new meetings.</li><li>Google ContactsRoutine imports your contacts for you to easily invite colleagues to meetings and take notes on people you interact with regularly.</li></ul>When signing up to Routine, you will need to grant access to those core services.<callout-component color="Yellow">🔒 Note that the authentication process to Google Calendar and Google Contacts is assured by Google. As a result, Routine never has and never will have access to your Google password!</callout-component>Even though the number of services and permissions Routine requires has been reduced to the minimum, you will need to accept three specific permissions for Routine to operate.These permissions will be requested by Google through its authentication process and will look like the screen below:Let us go a bit deeper and detail the three permissions Routine requests:<ol><li>See and download contact info automatically saved in your “Other contacts”This permission refers to what Google calls Other Contacts. Those are the people you interact with through the Google services like Gmail, Google Calendar etc.Any contact that you interact with (e.g receive an email from) is automatically added as a contact in your Other Contacts.You can easily access your Other Contacts at <a target="_blank" rel="noopener noreferrer nofollow" class="link" href="https://contacts.google.com/other">https://contacts.google.com/other</a>.Routine requires access to import those Other Contacts so you can schedule meetings and take notes on the people you interact on a regular basis.🔒 Note that Routine only requires read-only access to your Other Contacts. As a result, Routine will never be able to add, edit or delete any of your Google Contacts.</li><li>See and download your contactsWhenever you manually click on <code>*Add to contacts*</code> in one of Google’s services (e.g Gmail: example below), the contact is moved from Other Contacts to Contacts.The second access permission grants Routine access to those contacts for the same reason Routine needs access to Other Contacts: to schedule meetings, display your contacts information, take notes etc.🔒 Because Routine only requires read-only access to your Contacts, Routine will never be able to add, edit or delete any of your Google Contacts.</li><li>See, edit, share, and permanently delete all the calendars you can access using Google CalendarThis permission grants permission for Routine to manage your all your calendars.Concretely speaking, Routine needs this permission to manage your events: create, edit, cancel and delete events in any of your calendars.This is the only service for which Routine requires all permission (read &amp; write) because the application needs to operate your calendars and events the same way Google Calendar does.</li></ol><h2 id="31ptz45ep6a" data-toc-id="31ptz45ep6a">🔐 Data Privacy</h2>Routine takes data privacy very seriously and has therefore been designed to reduce the chances of potential data leakage or attacks.<h3 id="m43p52xxkc0" data-toc-id="m43p52xxkc0">Google Verified</h3>All the Routine applications have been verified by Google.The company (Routine International Inc.) and its products underwent a thorough validation process granting Routine access to sensitive services like Google Calendar, Google Contacts, Gmail, Google Drive, Google Tasks etc.<h3 id="l3cei4okzeo" data-toc-id="l3cei4okzeo">Data Exchanges</h3>Routine has been designed for the data not to go through its servers if unnecessary.As a result, only the client application (your desktop or mobile apps) exchange information with the Google services (Google Calendar, Google Contacts etc.). The same is true with <a target="_blank" rel="noopener noreferrer nofollow" class="link" href="https://routine.co/marketplace/extensions/integrations">Integrations</a> like Asana, Gmail, ClickUp, Slack etc.In other words, the Routine servers are never interacting directly with external services so that data always stay on your devices. This reduces the risks of leakage while increasing the performance of the application.<h3 id="8izdkk1x21l" data-toc-id="8izdkk1x21l">Encrypted Communication</h3>All communication from and to your devices are encrypted to ensure the security of your data.

Let's take a quick tour at the different screens of the Routine app.<h2 id="bzosx8cc2f5" data-toc-id="bzosx8cc2f5">📋 Dashboard</h2>The Dashboard is not a screen per se but kind of an app in itself.The dashboard is powerful because it can be opened from anywhere on your desktop through the <code>^</code> <code>⎵</code> (i.e <code>CTRL</code>+<code>SPACE</code>) hotkey.<callout-component color="Yellow">💡 Note that the Routine symbol (above the menu) can also be used to open the dashboard. The dashboard is one of the most important components of the Routine product, providing key productivity information within a fraction of a second, anywhere on your desktop.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193dedb-4f64-72df-9c69-bae4bbcb3818.png" data-width="100%" data-align="center"><h2 id="zkoacx0m70i" data-toc-id="zkoacx0m70i">🤔 Why?</h2>As a busy professional, you have many meetings to attend, many requests coming your way through email/chat, and a lot of tasks that need time to get done.Unfortunately, your day feels like switching from one app to another to get the most basic information: When is my next meeting? Where is the link to join the call? Do I have time to get a coffee, or am I late? I've got some time to focus; where are my tasks for the day? And so on and so forth.We introduced the concept of dashboard because we were tired of constantly context switching between apps just to get that basic information. Those few seconds matter and can definitely derail your momentum for getting things done.<h2 id="f02zb4x685k" data-toc-id="f02zb4x685k">🙉 Usage</h2>The Routine dashboard provides all of that information (tasks of the day, upcoming events, etc.) within a fraction of a second through the hotkey <code>^</code> <code>⎵</code> (<code>CTRL</code>+<code>SPACE</code>).<callout-component color="Yellow">💡 You can change the hotkey to the keyboard combination of your choice in the ⚙️ Settings.</callout-component>The dashboard is always available through the hotkey anywhere on your desktop. You could be in a Zoom call, working on a document, or answering emails; the dashboard is always one keystroke away; just hit the hotkey!Then, when you are done, just hit <code>⎋</code> (<code>ESCAPE</code>) or click anywhere outside the widgets to close it.<callout-component color="Yellow">💡 Hide the consoleIf you have opened the dashboard but you want to quickly check something without losing what you had already typed, simply hide the dashboard and resume when you want.Open the dashboard (with <code>^</code> <code>⎵</code>), start typing in the console, and hit <code>^</code> <code>⎵</code> once more to hide the dashboard. You can easily interact with a task by clicking to mark it as complete, open it, or even reschedule it.<h3 id="myok6aefa7e" data-toc-id="myok6aefa7e">Time</h3>On the right-hand side, a list of widgets represents the time:<ul><li>Pause widgets indicate how much time you have before the next event. Those are particularly useful for knowing how much time you can dedicate to a task.</li><li>Event widgets provide all you need to know about events. Dashboard

The term Console refers to the input you use to issue orders, save information, and search.The console is part of the <span data-type="mention" class="dark:bg-border bg-[#E9ECF1] px-1 py-0.5 text-sm shadow-none rounded-md" data-id="eyJhcnRpY2xlSWQiOiIwMDc5ODA1IiwiaGVscENlbnRlcklkIjoic21jOWlicWsya3M2N3UzYyIsIm9yZ2FuaXphdGlvbklkIjoiNjcyOTI2N2ZjMGYwNmU0OGZjYTI1Y2RiIiwibG9jYWxlIjoiZW4iLCJzdGF0ZSI6ImxpdmUifQ==-article" data-label="Dashboard">@Dashboard but is also present throughout the app to perform basic actions like scheduling a task, searching etc.In other words, whenever you interact with Routine through text instead of clicking, the console is involved.<callout-component color="Yellow">📱 The Routine mobile app does not provide the same natural language capabilities because it is usually easier and quicker to use tapping and sliding for interacting on a smartphone.</callout-component><h2 id="afi872wafcy" data-toc-id="afi872wafcy">📺 Interface</h2>Through the console, the user can create and manipulate different types of objects, most notably tasks, events and text.The console comes with natural language capabilities for the user to specify properties. As with most productivity tools, a task has a title or a name that can be extended with a description.Unlike many products, however, a task on Routine can be extended with a description. At Routine, we believe calendars are extremely useful to overview your time over a long period e.g a week or a month. But when it comes to the day-to-day or even scheduling meetings, calendars could benefit from a more modern approach.Events have a date, time, and duration and can have multiple participants. Nothing new here.Routine however allows you to take private notes for those events (meeting, class, or else). Those notes could be simple points you would like to discuss during your next meeting, tasks you need to complete that relate to that person up to recurrent actions you want to be remembered to take e.g scheduling a review meeting, booking a restaurant for your marriage anniversary etc.

Routine has been designed as a knowledge graph, with objects (tasks, events, contacts, pages etc.) representing nodes connected to one another.In this giant hierarchy, some objects are upper-level, also known as root objects, while other live in the context of another object, referred to as their parent.In other words, a checkbox in notes of an event represents a task whose parent is the event itself. The event object is itself implicitly linked to the objects representing the other participants in the event.
